Privacy Policy
What we collect, why we collect it, and what we do (and don't do) with your information.
Last updated: March 2026
The short version: We collect what we need to serve you well. We never sell your data. We never share it with advertisers. Your information stays between us. Period.
1. Who We Are
Madison County Landscaping, LLC ("Company," "we," "us") is a landscaping business based in Huntsville, Alabama serving Madison County, AL and Lincoln County, TN. This policy applies to information collected through our website at madisoncountylandscaping.com, our membership portal, and through direct interactions with our team.
2. Information We Collect
Information You Provide
When you fill out a form, create an account, or contact us, you may provide:
- Contact information: Name, email address, phone number, and mailing address.
- Property information: Property address, which we use to schedule consultations, plan services, and verify your location is within our service area.
- Project details: Descriptions of what you're looking for, photos you share, and notes from our conversations about your property.
- Payment information: Credit card and billing details, which are processed securely through Stripe (see Section 5).
- Account information: Email and password when you create a membership account.
Information Collected Automatically
- Website analytics: Pages visited, time on site, browser type, device type, and referring website. Collected through Google Analytics with your consent (cookie banner).
- IP address: Used for security purposes including rate limiting and fraud prevention. We do not use your IP address for marketing.
- Cookies: See Section 7 below.
Information From Third-Party Services
- Google Geocoding: When you provide a property address on our consultation request form, we use the Google Geocoding API to convert that address into geographic coordinates. This allows us to verify the property is within our service area and to provide map-based services. Google's privacy policy applies to their processing of this data.
- Stripe: When you make a payment or subscribe to our membership, Stripe processes your payment information. We do not store your credit card number on our servers.
3. How We Use Your Information
We use your information to:
- Respond to your consultation requests and schedule property visits.
- Prepare proposals and service agreements based on your property needs.
- Perform and manage landscaping services at your property.
- Process membership subscriptions and payments.
- Send you care instructions, seasonal reminders, and service-related communications.
- Maintain property records including service history, plant inventories, and soil test results, which benefit current and future property owners.
- Improve our website and services based on how visitors use our site.
- Comply with legal obligations.
4. SMS Text Notifications
When you submit a consultation request through our website, our team may receive an SMS text notification so we can respond to you promptly. Your phone number is used only for direct communication between you and our team — scheduling visits, confirming appointments, and project updates.
We do not send marketing text messages unless you explicitly opt in. We do not share your phone number with any third party for marketing purposes. If you provide your phone number, you consent to receiving service-related calls and texts from our team.
5. Payment Security
All payment processing is handled by Stripe, which is PCI DSS Level 1 compliant — the highest level of security certification in the payments industry. We never see, store, or have access to your full credit card number. When you pay through our website, your payment information goes directly to Stripe's secure servers.
6. How We Protect Your Information
- All data transmitted through our website is encrypted using HTTPS/TLS.
- Passwords are hashed using bcrypt and never stored in plain text.
- Access to customer data within our operations system is controlled by role-based permissions — our team members only see the information relevant to their role on your specific project.
- Our internal notes about your property are stored in an append-only system that prevents modification or deletion, ensuring a complete and accurate record.
- Login sessions are tracked with timestamps and IP addresses for security auditing.
- We use rate limiting to prevent automated abuse of our forms and APIs.
7. Cookies
Our website uses the following types of cookies:
- Essential cookies: Required for basic website functionality including login sessions and form submissions. These cannot be disabled.
- Analytics cookies: Google Analytics cookies that help us understand how visitors use our site. These are only set after you accept cookies via our cookie consent banner. You can opt out at any time by clearing your cookies or adjusting your browser settings.
We do not use advertising cookies, tracking pixels, or retargeting technology. We do not serve ads on our website.
8. Information Sharing
We do not sell your personal information. Ever.
We share information only in these limited circumstances:
- Service providers: Stripe (payments), Google (geocoding and analytics), and our web hosting provider. These providers process data on our behalf under their own privacy policies.
- Vendors and subcontractors: When a vendor delivers materials to your property, we share your property address and delivery instructions — nothing more. They do not receive your phone number, email, pricing, or any personal information beyond what is necessary for the delivery.
- Legal requirements: If required by law, court order, or to protect the safety of our team or the public.
9. Property Records
We maintain detailed records about properties we service, including service history, plant inventories, soil test results, photos, and maintenance notes. These records are tied to the property address, not solely to the property owner. This means:
- If a property is sold, the service history remains associated with the property. This benefits the new owner by providing a complete landscape record.
- We may contact new property owners to offer continued service based on the property's existing maintenance needs.
- Property records are proprietary business information of Madison County Landscaping, LLC.
10. Your Rights
You have the right to:
- Access: Request a copy of the personal information we hold about you.
- Correction: Request that we correct inaccurate information.
- Deletion: Request that we delete your personal information, subject to our legal and business record-keeping obligations. Note that property service records may be retained even after personal data is removed.
- Opt out: Unsubscribe from marketing emails at any time using the link in any email, or by contacting us directly.
- Cancel membership: Cancel your membership at any time through your dashboard or by contacting us.
To exercise any of these rights, contact us at info@madisoncountylandscaping.com or call (256) 323-9882.
11. Children's Privacy
Our website and services are not directed at children under 13. We do not knowingly collect personal information from children. If you believe we have inadvertently collected information from a child, please contact us and we will delete it promptly.
12. Changes to This Policy
We may update this privacy policy from time to time. Material changes will be posted on this page with an updated "Last updated" date. We encourage you to review this page periodically.
